WiseBlock Workforce.

An AI team on every block you manage, each agent with one job: answering residents, sorting the inbox, reading repair photos, reading bank statements, following up arrears. They take the first shift on the routine work, inside your WiseBlock records, and hand every decision to a person.

Sheet 01How the Workforce works

Agents with a job description, not a chatbot.

Each agent is built for one part of a managing agent's week. It works on your records, inside the screens your team already uses, and its work arrives as a draft or a suggestion.

  1. Switched on by you

An administrator activates each agent in Settings, sets how it works, and can switch it off again at any time.

  2. One job each

The receptionist answers, the surveyor reads photos, the bank specialist reads statements. None of them wanders into another's work.

  3. Drafts, not decisions

Jobs, replies, ledger lines and shortlists arrive for a person to check. Spending, awards and approvals stay with people.

  4. On the record

Every request an agent makes is logged against it, with what it used and what it cost.

Sheet 02The roster

Every role on the team, and what it hands back.

Organised the way a managing agent's office is: the front desk, repairs, money, and compliance. Each agent is switched on separately, so you start with the ones you need.

Front desk

The first answer, at any hour.

  • AI Receptionist

Resident front desk, day and night

Answers residents in the portal by chat and by voice, any time they ask, and can text them a link to pay.

Anything that needs a decision goes to your team.

    • Answer resident questions about building services and amenities
    • Provide information on maintenance schedules and service hours
    • Handle general enquiries about building policies and procedures
    • Available 24/7 via voice call directly from the resident portal
  • Email Triage Agent

    The building inbox

Reads every email that reaches a building's address, sorts it by type and urgency, and suggests a reply.

Your team reads, edits and sends the replies.

    • Classify emails by type (maintenance, compliance, finance, resident query, spam)
    • Assign priority levels (urgent, high, normal, low)
    • Auto-label conversations with relevant tags
    • Flag urgent items and notify assigned team members
  • Platform AI Assistant

    Your team's research assistant

Answers your team's questions about the portfolio from live data, in plain English, in a drawer beside the work.

It answers questions; it can't change anything.

    • Answer questions about buildings, residents, and properties in real-time
    • Provide financial summaries, balances, and spending breakdowns
    • Report on fire safety compliance, overdue checks, and assessments
    • Look up team members, roles, and contact details

Repairs & suppliers

From a photo to a priced job.

  • Maintenance Surveyor

The surveyor who reads the photos

Reads the photographs of a reported fault and drafts the job a contractor can price: description, category, urgency and trades.

Nothing it drafts is saved until a person has checked it.

    • Read photographs of a fault and describe the work in a contractor's terms
    • Suggest the maintenance category and how urgent it looks
    • Name the trades required, e.g. plumbing, scaffolding, electrical
    • Flag what a photograph cannot show and needs investigating on site
  • Contractor Matcher

    The procurement desk

Scores every eligible contractor for a job from your own records, and says who to ask and why.

You choose who's asked, and a person awards the work.

    • Score contractors on trade cover, locality, responsiveness, quality, price and current workload
    • Learn from your own quotation history — who replies, who wins, who prices keenly
    • Shortlist the best few for a job, and say plainly why each is on the list
    • Weight the signals your own way, or switch any of them off

Money

Statements read, arrears followed up.

  • Bank Specialist

    The bookkeeper

Reads bank statements, PDF or CSV, into ledger lines, sorts them for block accounting and matches them against what's already recorded.

    Your team reconciles and approves.

    • Extract transactions from PDF and CSV bank statements
    • Categorise transactions for property management accounting
    • Create building ledger entries automatically
    • Match statement lines to existing transactions for reconciliation
  • Money Collector

    Arrears follow-up

Rings residents with an overdue balance above your threshold, on the days and hours you set, with a set reminder message.

Residents can turn the calls off; the amounts come from your ledger.

    • Scan residents with outstanding balances above configurable threshold
    • Make automated phone calls with scripted payment reminder messages
    • Respect configurable schedules (weekdays, weekends, hours) and call limits
    • Track every call attempt with full audit trail and Twilio status
  • Financial Analyst

    Financial health checks

Will look across a building's accounts for unusual spending, and forecast and compare budgets.

    • Detect unusual transactions and spending patterns
    • Forecast quarterly and annual budgets
    • Generate financial summary reports
    • Compare spending across buildings

Compliance & community

Deadlines watched, boards kept civil.

  • Compliance Monitor

    Compliance watch

Will track certificate expiry dates and fire safety deadlines, and warn before one is missed.

    • Track fire safety certificate expiration dates
    • Generate compliance reports automatically
    • Alert before deadlines are missed
    • Recommend remedial actions based on findings
  • Board Moderator

    Community boards

Will moderate building message boards, summarise long threads and pick out action items.

    • Content moderation and spam detection
    • Summarise long discussion threads
    • Extract action items from conversations
    • Translate messages for multilingual communities

Sheet 03What changes

The routine handled, your team on the decisions.

A managing agent's day is mostly first steps: answering the same question again, reading an email to find out what it is, retyping a statement, chasing a balance. The Workforce takes those first steps, so the people in the office start from a draft rather than a blank page.

  • Residents answered out of hours

The receptionist is in the portal day and night, so a resident with a question at 10pm gets an answer at 10pm.

  • An inbox sorted before you open it

Building email arrives labelled by type and urgency, with a suggested reply waiting.

  • Repairs priced from a photo

A resident's photo becomes a job a contractor can price, sent to the firms most likely to answer.

  • Statements read, not retyped

Bank statements become ledger lines, matched against what's already recorded.

  • Arrears followed up on schedule

Reminder calls go out on the days and hours you set, with every attempt recorded.

  • People still decide

Awards, approvals and payments stay with your team, with a named approver over each building's limit.

Sheet 04Workforce and Workflows

Judgement from the agents. Rules from you.

The Workforce handles what needs reading and judging: a photo, an email, a statement, a question. Workflows handle what should happen the same way every time: when an emergency repair comes in, tell the property manager and message the resident; when a budget heading reaches 80%, ask an admin.

They work together. A repair the surveyor helped draft is raised like any other, and the workflows listening for new repairs pick it up.

Sheet 05Trust

A team you can account for.

What each agent sees, which AI provider is behind it, and who decides afterwards, written down.

  • Only what the job needs

The assistant is told about residents as a unit and building, not their name or contact details, unless your question names them.

  • Not used to train models

Anthropic's and OpenAI's business terms don't use what we send through their APIs to train their models.

  • Not everything is AI

The Contractor Matcher scores firms from your own quotes and work orders, and the Money Collector's calls read a set message. We say so rather than call everything AI.

Questions

The WiseBlock Workforce, answered.

What is the WiseBlock Workforce?

WiseBlock's team of AI agents for block management. Each agent does one job, such as answering residents, sorting building email, reading repair photos or reading bank statements, and hands its work to your team as a draft or a suggestion.

Do the agents replace our staff?

No. They take the first step on routine work so your team starts from a draft. Decisions that commit money or affect a resident stay with people.

Can we choose which agents to use?

Yes. Each agent is switched on per organisation by an administrator, configured where it offers settings, and can be switched off at any time.

How is the Workforce different from workflows?

Agents read and judge: a photo, an email, a statement. Workflows follow rules you draw, exactly, every time. Most customers use both.
